What runs on Excel today

The plant is 18 to 20 years old. The order book sits with six or eight salesmen across three states. Each one reports by WhatsApp when he remembers. The sales register is an Excel sheet one person updates on Saturday from those messages. Nobody knows on a Tuesday what was sold on Monday.

Dispatch is in Tally. Distributor balances are in Tally too, but the ageing report is pulled once a month and argued over on the phone.

The boiler log is a register at the boiler house. The shift operator writes steam pressure, fuel fed and hours run. Steam-to-product ratio is worked out at month end, if at all. A bad week of fuel burn shows up in the next quarter's P&L.

The company has a website from 2014. A buyer searching for your product finds a trader, not you.

The senior generation reads the Saturday sheet. The next generation wants it daily and wants it to be correct. Both are right.

Watches every salesman's day: check-in location, visits made, orders booked, photo of the distributor counter. Pushes each order into Tally the same evening. You see a map and an order count on your phone at 9 am, with the salesmen who did not check in listed first.

Daily sales brief agent

Reads Tally dispatches, orders and collections every night and compares them against the month's target and last year's same week. One screen by 9 am: sold, dispatched, collected, overdue above 45 days by distributor.

Agent 03

Steam efficiency agent

Takes the boiler register as a photo each shift, or a direct feed from the meter where one exists. Works out steam per tonne of product and fuel per tonne of steam, by shift. Flags any shift more than 5% off the plant's own 30-day average, on your phone the same morning, with the operator's name.

Agent 04

Distributor watch agent

Tracks each distributor's order frequency and payment pattern. Flags a distributor who has gone quiet for 21 days or whose outstanding has crossed his agreed limit. Weekly list, Monday morning.

What it saves

In a plant of this size the money is in three places.

Salesman time. A salesman who spends 45 minutes a day on WhatsApp reports and Saturday reconciliation gets that back for calls. Across eight salesmen that is about 30 hours a week. Target: 15 to 20 hours a week reclaimed, which is the output of one extra salesman without the salary.

Fuel. Boiler efficiency drifts when nobody reads the register daily. Catching a bad shift within a day instead of a quarter is worth 3 to 5% of steam cost in most plants we have seen. On a ₹1.5 Cr fuel bill that is ₹4.5 to 7.5 lakh a year.

Collections. Overdue flagged at 45 days instead of 90 cuts the money stuck with distributors. Target: 10 days off the average collection period.

How the first 30 days go

Week 1

We visit the plant. We sit with the dispatch clerk, the boiler operator and two salesmen. We take the Saturday sheet, the boiler register and the Tally data as they are.

Week 2

Field sales agent built on your salesmen's phones. Tally connected. We sit with the person who fills the Saturday sheet until the agent matches it.

Week 3

Field sales agent live. First 9 am brief on your phone. The Saturday sheet keeps running in parallel.

Week 4

Weekly brief starts. Steam efficiency agent begins reading the boiler register. The Saturday sheet retires when you say so.

Questions promoters ask

Does AI in manufacturing work for a 20-year-old chemical plant with no sensors?

Yes. Most plants we work with have a boiler register and a Tally licence, nothing more. The first agents read photos of the register and the Tally data you already have. Sensors come later, if the saving justifies them.

Will my salesmen accept a tracking app?

They accept it when it removes work. The agent replaces the evening WhatsApp report and the Saturday reconciliation. Check-in takes one tap. We train each salesman in person in the first two weeks.

Do we need to replace Tally with manufacturing ERP software?

No. Tally stays as the book of account. AgentJi builds the sales, dispatch and plant agents on top of it, so your CA and your auditor see nothing new. If you outgrow Tally later, the agents move with you.

What does production monitoring software cost each month?

A one-time implementation fee and a monthly maintenance fee that covers monitoring, updates and the weekly brief. Both are fixed and agreed before we start. We publish how we charge, not a price list, because scope differs by plant.
